Signing up to Essential Rewards
Essential Rewards Signing up to the Essential Rewards scheme is simple.  Simply logon to www.essential-hotels.com and fill in the relevant fields.  Alternatively you can speak to one of our Reservations Team on 0118 9714700, and they will be happy to register you for the scheme over the phone.

The e-mail address that you provide will be the main contact e-mail address within our system. You will receive quarterly statements so that you can keep abreast of your current points total.

If your bookings are on behalf of a company it is your responsibility to check that you are allowed to participate in incentive schemes and accept rewards. Once you have signed up, Essential Hotels cannot take responsibility for any rewards accepted against your own company policy.

Only once you’ve signed up will you be able to claim rewards for future business placed with Essential Hotels.
The Claim Process
Reward points are added to your balance after each stay or conference has taken place. When you wish to claim your reward vouchers, simply phone Essential Hotels on 0118 9714700 and ask for the Essential Rewards Claim Department.  You will earn a £10 high street voucher for every 100 points accumulated on hotel or conference bookings made through Essential Hotels. Your minimum claim must be 100 points.

One point is earned for every £10 you spend. Points are calculated based on the value of each reservation at the booking stage, before any extras that may have been added during your stay. In the case of conferences the claim is based on the value of your event at the contract stage, before any extras that may have been added during the event.  Your event value will also exclude extra costs that may have been added for audiovisual support or team building/theming.

When you submit your claim, your rewards will be calculated for you there and then. Values will be rounded down to the nearest 100 points and any leftover points will remain on your balance.
How long does it take for the vouchers to arrive?
As long as reservations and events have taken place the vouchers will take just up to 28 days to arrive to you.

There may be the odd instance where we have to query or adjust your claim.  If we do this, you’ll be notified by e-mail as to the adjusted claim amount and why we’ve changed this, or indeed why we’ve rejected it.  You’ll then have the opportunity to accept the revised claim.  That might prolong your vouchers slightly but we aim to deliver all within the 28 day time period.

Vouchers will be sent to the address registered on sign-up.  Vouchers will be sent by recorded delivery but once they leave our offices, tracking and safe delivery of the vouchers is down to you.  Unfortunately, we can’t also accept responsibility for any vouchers that are lost or stolen.

There are no cash alternatives to the vouchers.
Monthly Prize Draws
All members of the Essential Rewards Scheme will be entered into a monthly Prize Draw. The draw will be made on the last working day of each month and the winner notified by 10th of the following month.  The prize winner will be notified by email. Prizes must be accepted within 14 days, or another winner will be selected.

Again, if you are unable to accept prizes up to a certain value as part of your company policy, do let us know at the time of your enquiry and we’ll remove you from the draw.
Is there anything else I need to know?
•    Essential Hotels cannot accept any liability for tax implications incurred as a result of receiving vouchers that members may be liable to pay tax on.

•    Essential Hotels reserve the right to withdraw or alter the scheme without prior notice.
